Employment: Full Time

Job Summary: The Personal Assistant to the CEO provides high-level administrative support to the Chief Executive Officer (CEO), ensuring the smooth and efficient operation of the executive's day-to-day activities. The role requires a proactive, highly organized, and confidential professional who can handle a wide range of tasks, manage complex schedules, and assist in various business functions.

Key Responsibilities:

Calendar Management:
- Coordinate and manage the CEO’s schedule, including appointments, meetings, and travel arrangements.
- Prioritize and resolve scheduling conflicts, ensuring the CEO's time is used efficiently.

Communication:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, proofread, and manage correspondence and communication on behalf of the CEO.
- Handle phone calls, emails, and other communications with discretion and professionalism.

Meeting Coordination:
- Organize and schedule meetings, including preparing agendas, arranging logistics, and taking minutes.
- Follow up on action items and ensure deadlines are met.

Travel Arrangements:
- Plan and coordinate travel itineraries, including booking flights, accommodations, and transportation.
- Prepare travel documents and ensure all arrangements align with the CEO’s preferences and schedule.

Administrative Support:
- Manage and maintain confidential files and documents.
- Prepare reports, presentations, and other documents as needed.
- Conduct research and compile information for meetings and decision-making.

Project Assistance:
- Assist in the management and execution of special projects and initiatives.
- Track progress and report on project status to ensure timely completion.

Expense Management:
- Process and reconcile expense reports and invoices.
- Track and manage the CEO’s budget for travel, entertainment, and other expenses.

Personal Support:
- Provide personal assistance as required, which may include managing personal appointments, household tasks, or other personal errands.

Requirements:

Qualifications:

- Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Experience: Minimum of 5 years of experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior executives or C-level personnel.

Skills:

- Exceptional organizational and time-management skills.
- Preferred English and Arabic Speaking
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to handle sensitive information with confidentiality.
- High level of attention to detail and accuracy.
- Working Conditions:
- Fast-paced office environment with occasional need for extended hours or availability outside of standard business hours.
- Occasional travel may be required.
