About The Role:

We are seeking a highly organized and detail-oriented Logistics Coordinator with experience in customs clearance to join our team. The successful candidate will be responsible for coordinating, overseeing and executing logistics operations, ensuring efficient and timely shipment of goods, and handling all customs-related procedures and documentation.

Working hours will be Monday to Saturday 8.00am - 5.00pm, our customers don't work Sunday so neither do we. We have a rotational shift pattern of 06:00-14:00, 14:00-22:00 & 22:00-06:00 to cover the operations.

Who We're Looking For:
As our operations expand, we are looking for a pro-active and experienced Logistics Coordinator for Dubai WH site located in DWC to enhance our operation team's capabilities.

Your Responsibilities Will Include:

Logistics Coordination:
- Plan, coordinate, and monitor the transportation and delivery of goods by 3rd-party Logistics Providers
- Schedule and track shipments, ensuring on-time delivery and Coordinate shipments with suppliers, Logistics Providers (carriers), and customers to arrange shipments.
- Prepare and maintain accurate records of shipping activities.
- Resolve any transportation issues.

Customs Clearance:
- Handle all customs documentation and ensure compliance with import/export regulations (BOE Declarations, Exit Certificates, Gates Passes, e-Clearance, Claim submission)
- Prepare and submit necessary customs declarations and paperwork.
- Coordinate with Customs and Free Zone agencies to facilitate smooth customs clearance and compliance with customs laws and regulations.
- Maintain and organize all logistics and customs-related documentation
- Stay updated on changes in customs regulations and industry best practices.
- Resolve any customs-related issues or discrepancies in a timely manner.

Communication and Coordination:
- Act as a point of contact for logistics queries and issues.
- Collaborate with internal departments, including sales, customer service, and procurement, to ensure seamless operations.

Your KPIs will be:

Quality of Records
- Ensure that 99% of shipments are accompanied by the correct set of documents specific to the shipment type and are accurately recorded in the Declaration Tracking app. A review will be conducted bi-weekly based on the app's records to verify compliance.

Quality of Customs Documentation
- Ensure that 99% of declarations and Exit Certificate final stamps are submitted on time, and that clearance and claims are acknowledged for all declarations under our company name. A review will be conducted biweekly based on the app's records to verify compliance.

GatePass Response Time
- Prepare and upload the GatePass within 30 minutes from the time of request to ensure timely processing and response.

Quality and Cost Efficiency of Delivery Network (Outbound and Inbound)
- Ensure the accuracy of shipping rates and transit times between the company's Delivery Management Software and Logistic Providers. Performance reviewed through customer care complaint metrics to identify and address any deviations.

Goals for the First 3 Months:
Develop and Implement SOP for Outbound and Inbound Shipments Documentation:
- Objective: Create and implement Standard Operating Procedures (SOPs) for documentation for both outbound and inbound shipments via Mainland, FreeZone Transfer, Export, and Re-Export shipments.
- Results: Complete initial SOP drafts for all shipment types within 14 days. Achieve a minimum 95% compliance rate with new SOPs during the first month of implementation, measured through monthly review and random audits of records.

Coordinate Transition to New Shipping Terms and Conditions:
- Objective: Facilitate the transition to new Shipping Terms and Conditions (T&C) across all Logistic Providers, Customers, Suppliers and relevant company departments etc. Guide Logistic Providers and Customers through the changes, identifying optimal solutions to minimize disruption and churn.
- Results: Sales drop should not exceed 5% of sales volume among affected customers.
- Expand Delivery Network (Outbound and Inbound):
- Identify new shipping options for existing and new routes, covering both inbound and outbound deliveries.
- Obtain quotes for air and sea freight from at least 3 logistic providers within 36 hours of request.

You're definitely a Good Fit If You Have:
- Experience: Minimum 3 years of experience in Customs Clearance and Logistic Coordination and a proven track record of success in similar roles. Previous experience with Dubai Customs (preferable DWC or JAFZA FreeZones) is a must.
- Expertise: Knowledge of UAE Customs procedures is a must and previous experience within Logistics Coordination are essential.
- Certifications: MIRSAL 2 certification would be an advantage. Valid driving license would be an advantage.
- Technical Skills: You are strong in using office software such as MS Office and able to set up and maintain workstation (like installation of relevant Dubai Customs software, printers maintenance etc..)
- Communication: Strong verbal and written English is a must. Experience in conducting formal meetings, understanding and applying the relevant policies appropriately is desired.
- Adaptability: You thrive in a fast-paced, dynamic environment and can adapt quickly to changing priorities and requirements.
- Passion: Have a keen interest in the logistics and automotive industry.

Salary:
AED 5,000 to 7,500 per month inclusive of fixed allowances.
