JOB DESCRIPTION / ROLE

Employment: Full Time

We are seeking a highly organised and proactive Reception and Listing Admin to join our dynamic team in Dubai. In this role, you will be the first point of contact for clients and visitors, providing exceptional customer service while managing administrative tasks related to property listings. Your attention to detail, excellent communication skills, and ability to multitask will be essential in contributing to our company's success and reputation in the real estate sector.

Responsibilities:
• Assisting the CEO and COO for any admin requests and general team support
• Maintain and manage the PF Expert CRM
• Listing of new properties in the PF Expert CRM, Bayut & Dubizzle
• Adding of new account users (both Property Finder CRM, Bayut & Dubbile Portfilio )
• Registering the new listed properties in DLD Trakheesi system
• Coordinate with the agents in terms of unit availability and marketing
• Advertising and verifying of properties in Property Finder
• Meet and greet clients, to determine what the purpose of their visit is and direct to the relevant team member
• Answering all phone calls, ensuring they are transferred over to the right department and having a friendly phone manner
• Receiving the deliveries and packages from all delivery couriers and allocating to the right person
• Assisting the agents by copying, scanning and printing documents as and when needed
• Handle general office tasks such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
• Monitor all agents when they are qualified for RERA and ensure their accounts are verified on the portals
• Monitor and check all RERA qualified agents’ listings are up to date and of good quality to qualify and score for super-agent

Requirements:
• Minimum 2 years proven work experience as a Receptionist, Front Office Representative, or in a similar role.
• Proficiency in Microsoft Office Suite.
• Hands-on experience with office equipment (e.g., fax machines, printers).
• Professional attitude and appearance.
• Solid written and verbal communication skills.
• Ability to be resourceful and proactive when issues arise.
• Excellent organisational skills.
• Strong multitasking and time-management skills, with the ability to prioritise tasks.
• Customer service-oriented attitude.
• High school diploma; additional certification in Office Management is a plus.
