JOB DESCRIPTION / ROLE

Employment: Full Time

We are seeking a motivated and detail-oriented Real Estate Admin to join our dynamic team in Dubai. The ideal candidate will provide comprehensive administrative support, ensuring smooth operations within the real estate office. You will assist in the coordination of property transactions, client communication, and document management, contributing to the success of the company’s real estate processes.

Key Responsibilities:

• Provide administrative support to the real estate agents, property managers, and other team members.
• Assist in the preparation and management of real estate contracts, agreements, and documentation (e.g., Contract A, MOUs).
• Maintain accurate and organized records of property listings, transactions, and client information.
• Coordinate property viewings, inspections, and meetings with clients and agents.
• Communicate with clients, owners, developers, and government authorities (such as Dubai Land Department) to handle inquiries, follow-ups, and paperwork.
• Ensure compliance with Dubai real estate regulations, company policies, and RERA guidelines.
• Handle the scheduling and organization of property-related tasks, including marketing campaigns, online listings, and open house events.
• Support financial processes including invoicing, billing, and payments for property transactions, service charges, and settlement fees.
• Manage CRM systems and ensure timely updates of property listings, leads, and sales progress.
• Assist with the preparation of reports, presentations, and market analysis.
• Liaise with external parties such as brokers, banks, and law firms on legal or financial matters.

Requirements:
• Minimum 1 year of experience in an administrative role, preferably in real estate.
• Familiarity with Dubai’s real estate market, RERA guidelines, and property transactions is a plus.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and CRM systems.
• Strong organizational and multitasking skills, with a keen eye for detail.
• Excellent communication and interpersonal skills.
• Ability to work independently and as part of a team in a fast-paced environment.
• Fluency in English is required; knowledge of Arabic or other languages is an advantage.
