Job Description: Reception and Admin Coordinator
Location: Dubai, UAE
Job Type: Full-Time

Job Summary:
The reception and admin coordinator will be responsible for managing reception duties, HR functions, and general administrative tasks. The ideal candidate must have experience with the DMCC portal and AML (Anti-Money Laundering) portal to ensure compliance with industry regulations.

Key Responsibilities:

Reception Duties:
• Greet and welcome visitors in a professional manner.
• Answer and direct phone calls to appropriate departments.
• Manage incoming and outgoing mail and deliveries.
• Maintain a tidy and welcoming reception area.

HR Functions:
• Assist with recruitment processes, including posting job ads, scheduling interviews, and conducting initial screenings.
• Maintain and update employee records, including personal details, attendance, and leave balances.
• Coordinate onboarding and orientation for new employees.
• Support employee engagement and wellness programs.
• Handle HR-related queries and provide support to staff.

General Administrative Tasks:
• Manage office supplies and inventory, ensuring timely replenishment.
• Organize and maintain electronic and physical filing systems.
• Prepare and distribute internal communications, memos, and reports.
• Schedule and coordinate meetings, appointments, and travel arrangements.
• Assist in the preparation of presentations and other business documents.

DMCC Portal Experience:
• Handle all DMCC portal-related activities, including registration, license renewals, and document submissions.
• Ensure compliance with DMCC regulations and guidelines.
• Liaise with DMCC authorities as needed to address any issues or requirements.

AML Portal Experience:
• Manage the AML portal to ensure compliance with anti-money laundering regulations.
• Conduct regular checks and updates to the AML system.
• Prepare and submit required AML reports.
• Stay updated on AML regulations and implement necessary changes to policies and procedures.

Requirements:
Criteria:
• Bachelor's degree in Business Administration, Human Resources, or a related field.
• Proven experience in reception, HR, and administrative roles.
• Proficiency with the DMCC portal and AML portal is mandatory.
• Excellent organizational and multitasking skills.
• Strong communication and interpersonal skills.
• High level of discretion and confidentiality.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.
