JOB DESCRIPTION / ROLE

Employment: Full Time

We are seeking a highly organized and detail-oriented Personal Assistant to provide administrative support to our team. The successful candidate will be responsible for managing schedules, coordinating travel arrangements, handling correspondence, and providing general assistance to ensure the smooth running of daily operations.

Responsibilities:
• Manage and coordinate the schedules of senior executives, including arranging meetings, appointments, and travel itineraries.
• Handle incoming and outgoing correspondence, emails, and phone calls, ensuring timely and effective communication.
• Prepare reports, presentations, and documents using Microsoft Visio, Excel, and PowerPoint, demonstrating strong attention to detail and high-quality output.
• Maintain and organize files, records, and databases, ensuring efficient retrieval and storage of information.
• Assist in the planning and execution of company events, meetings, and conferences, including logistical arrangements and coordination of resources.
• Conduct research, compile data, and provide administrative support for special projects and initiatives as required.
• Manage expenses, invoices, and financial documentation, ensuring accuracy and compliance with company policies.
• Handle ad-hoc administrative tasks and provide general support to the team as needed.

Requirements:
• Proven experience as a Personal Assistant or similar role, demonstrating exceptional organizational and time management skills.
• Proficiency in Microsoft Office suite, particularly Microsoft Visio, Excel, and PowerPoint, with advanced knowledge of spreadsheet and presentation software.
• High typing speed and accuracy, with the ability to transcribe and produce documents efficiently.
• Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
• Strong attention to detail and the ability to prioritize and manage multiple tasks effectively.
• Discretion and confidentiality in handling sensitive information and maintaining professional boundaries.
• Ability to work independently, anticipate needs, and take initiative to ensure the smooth functioning of daily operations.
• Flexibility and adaptability to accommodate changing priorities and work effectively in a dynamic and fast-paced environment.
