Job Description Summary: We are seeking a professional and experienced Executive Assistant to provide high-level administrative support to our team in Riyadh, KSA. The ideal candidate should have advanced knowledge of MS Office suite, including PowerPoint, SharePoint, and Visio. Familiarity with Aconex or similar project management software is also preferred. Additionally, the candidate should have prior experience working in real estate development companies, PMCs/Consulting, or contracting firms. As an Executive Assistant, you will be responsible for managing schedules, coordinating meetings, organizing travel arrangements, and handling various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced environment while maintaining strict confidentiality. The successful candidate will be a proactive and reliable individual with exceptional communication and multitasking abilities.

Responsibilities:

- Manage and maintain executives' schedules, appointments, and calendars, ensuring effective time management and coordination.
- Coordinate and schedule meetings, conferences, and business events, including room and equipment set-up, agenda coordination, and minute taking.
- Arrange travel and accommodation for executives, book flights, hotels, and transportation, and prepare detailed itineraries.
- Handle and prioritize incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely responses and appropriate delegation.
- Prepare and edit presentations, reports, and documents using MS Office suite, maintaining accuracy and consistency in formatting and content.
- Organize and maintain files and records, including digital and physical files, ensuring easy retrieval and organization of documents.
- Conduct research, collect data, and perform data analysis using available software tools to support executives' decision-making, and provide comprehensive reports or summaries as needed.
- Liaise with internal and external stakeholders, building and maintaining professional relationships and ensuring smooth communication and collaboration.
- Assist in the coordination and maintenance of project-related documents and information using Aconex or similar project management software.
- Utilize SharePoint and other collaboration tools to facilitate information sharing and enhance teamwork.
- Maintain a high level of confidentiality in handling sensitive and confidential matters.
- Handle special projects and other duties as assigned by executives, demonstrating flexibility and willingness to support the team.

Requirements:
- Bachelor's degree in Business Administration, Management, or a related field is preferred.
- Proven experience as an Executive Assistant or similar role, providing support to senior-level executives.
- Advanced knowledge of MS Office suite, including PowerPoint, SharePoint, and Visio.
- Familiarity with Aconex or similar project management software.
- Experience working in real estate development companies, PMCs/Consulting, or contracting firms.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong attention to detail, with the ability to maintain accuracy and consistency in work.
- Exceptional written and verbal communication skills, with proficiency in English.
- Discretion and professionalism in handling confidential information.
- Strong interpersonal skills with the ability to build relationships and work effectively with individuals at all levels.
- Proactive and self-motivated individual, with the ability to work independently and take initiative.
- Strong problem-solving and critical-thinking skills, with the ability to anticipate needs and resolve issues proactively.
