JOB DESCRIPTION / ROLE

Employment: Full Time

* Set up, implementation and monitor application of Aconex System. Prepare and implement the Documentation Control Plan for the project.
* Manage the storage of all types of documents and data (technical, administrative, or any general correspondences via Aconex).

This is a unique opportunity to join an organisation who is involved in one of the biggest real estate developments in the KSA Region. One of the Masterplans in Riyadh, Saudi Arabia focusing on Residential, Commercial, Retail and Education.

Description

Document Control
* Ensure that all project documents, submittals, and correspondences are in place in order to facilitate work as scheduled.
* Plan and coordinate all aspects of the documentation process and confer with delivery directors and direct supervisor to monitor the project progress.
* Ensures that the contractors, consultants, end-users of the EDMS system are compliance with standards and regulations on the Document Management Plan.
* Records any changes in policies and procedure.
* QA check all the incoming and outgoing correspondences.
* Analyze the information/documentation before distribution.
* Enables alignment of incoming correspondences based on disciplines, types and departments.
* Efficient handling of all project documentation.

Administration
* Support all administrative work for the project management team.
* In charge of the travel arrangements for the project management team.
* Management of all communication with the customer, letters preparation and agenda preparation.
* Coordinate the meetings within the project management team, core team, and delivery team.
* Format correspondence and follow up outstanding issues via Aconex and DocuSign system.

Requirements:
* Solid background in secretarial, document controlling, human resources, and extensive knowledge in administrative support.
* A self-starter who is highly competitive, organized, disciplined, goal-oriented, and effective in handling daily workload to meet deadlines.
* Bachelors of Business Administration or other relevant degree.
